Pick a CRM today and there's a good chance you start by asking an AI. So we did exactly that — at scale. Using VisibleAI, we put the questions a small sales team actually asks ("best CRM for a small business," "easiest CRM to use," "alternatives to Salesforce," "best free CRM") to ChatGPT and recorded 165 separate answers, then counted every tool it named. The result: AI's CRM shortlist is tiny, remarkably stable, and brutal to everyone outside it.
Five names own the category. Across those 165 answers, just five CRMs showed up again and again: Zoho CRM (84% of answers), HubSpot (80%), Pipedrive (78%), Salesforce (75%), and Freshsales/Freshworks (70%). If you sell a CRM and you're not one of these five, ChatGPT is mentioning you in a minority of answers at best — and for most tools, almost never.
The most-recommended "CRM" isn't a CRM. In 41% of answers — more often than it named any CRM outside the top five — ChatGPT suggested a small team just use Google Workspace, Gmail, or a spreadsheet instead of buying a dedicated CRM at all. For an early-stage team, the AI's honest advice is frequently "you don't need one yet." Worth knowing if you sell to small teams: your competitor isn't only HubSpot — it's "do nothing."
After the top five, it's a cliff. Copper (38%) and monday Sales CRM (33%) form a small second tier. Then everything falls under 21%: Close, Less Annoying CRM, Keap, Capsule (11%), Insightly (9%). Fifty-six different brands got named across the study — but most appeared in a tiny handful of answers, the AI equivalent of a footnote.
5 CRMs appear in 70–84% of answers; 51 other brands split the rest.
And some real CRMs are simply invisible. Of the tools we checked, SalesNexus was named zero times in 165 answers. Nimble: once. Newer, well-funded CRMs like Attio, Folk and Bigin never surfaced at all. These aren't bad products — they're just absent from the sources ChatGPT leans on when it answers, so to a buyer asking AI, they effectively don't exist.
Why this happens (and what to do about it). AI assistants mostly don't read your website when they answer. They repeat what their sources say — review sites like G2 and Capterra, Reddit threads, and "best CRM" roundups. The five winners here are the five with the deepest, most consistent third-party footprint. The invisible ones are missing from those same places. So moving from invisible to named is less about your landing page and more about being reviewed in your category on the sites AI trusts, getting genuinely mentioned in the communities it reads, and describing yourself the same way everywhere so the model treats you as one clear entity.
How we ran this. 165 ChatGPT answers to small-team CRM buying questions, each question asked several times (answers drift run to run), captured and tallied with VisibleAI — the same free scan anyone can run on their own brand. This is a first cut on one engine; we're expanding it across Perplexity and Gemini and a wider question set next.
